Every successful project is built upon a foundation of planning.

Here are seven tips that will make your next meeting a success.

1) Involve key participants in preparing agendas for meetings that deal with complex or controversial issues. Your agenda will then have their approval because they helped create it.

2) Set a policy of no surprises. Insist that people tell you about new information, discoveries, or events as soon as possible. This will help you avoid calling a meeting to work on issues that have been resolved or that have a different scope than you expected. It also protects you from being ambushed by surprises.

3) Inform key participants about new policies, solutions, or programs before the meeting. People resist sudden changes. Thus, give them time to become comfortable with the new issues before the meeting. If necessary, schedule your meeting at a later date to allow people to prepare for new issues.

4) Solicit volunteers before the meeting. People are often reluctant to volunteer for new activities without knowing what their participation entails. Advance information allows the participants to study your requests and to work them into their schedules.

5) If you plan to include a presentation in your meeting, write out the goal for that presentation. Then be sure to tell the speaker about this goal and what you expect from the presentation. Provide supporting information that will help the speaker, such as a description of the audiences interest or agreement with the topic and key issues to include or avoid.

6) Call those who are scheduled to give a presentation to check their degree of preparation. Ask if they have rehearsed the presentation. Also, remind them about the time allotted for their presentations.

7) If appropriate (or possible), have the presenters preview their presentations with you before the meeting. This provides practice for them and gives you a chance to request changes.

Let me ask you this. If youre a mom or dad, do you worry about how you sound when you talk to your kid? Does that stop you from telling them to take out the trash? Does it stop you from calling the bank to check on your bank balance? Does it stop you from picking up the phone and ordering a pizza? No?

So if your voice sounds okay to do those tasks then theres probably something else thats really bothering you about having your voice recorded.

How about, youre afraid of sounding stupid. I mean, no one wants to sound stupid. Me included. And youre afraid youll sounds Stupid because youre afraid you might make a mistake.

So my experience tells me that its not the fact you think your voice could be better. But the biggest fear for most people in having their voice recorded is that they feel like they might say something dumb, make a mistake and appear foolish.

When you picture a business professionals typical office scenario, what comes to mind?

A classy man or woman, dressed in a high priced business suit, an overflowing briefcase sitting on the corner of the desk, dictating memos and delegating tasks to a very overworked secretary?

How about a home-based business owner, sitting in their basement office, kids pulling at their pant legs while they are spending far too much time dealing with their correspondence and other administrative tasks?

Either of these sound familiar?

Well, these may be true but, with our ever-changing business environments and with the ease of using the Internet, more and more business professionals, especially small business owners, are altering how they conduct their daily activities.

Sure, they still have their offices, sometimes in their homes, but they also have more time to spend on generating revenue or to be with the kids than ever before.

How, you ask? Well.they outsource some or most of their non-core tasks to professional, reliable fellow small business owners who take pride in helping other businesses succeed by providing them with a helping hand.

These days, almost any normal (or even not so normal) task that a small business owner usually does, can be accomplished by an outside source.

Lets take a look at the typical daily (or so) tasks that are usually needed to be done:

This list gives you some idea of the many tasks that need to be done each day by most small business owners. And, this is only a portion of what is usually required to be done.

Some of these small business owners run their businesses from their homes, which means there is the added activities of dealing with around the house things (that everyone seems to think you have all the time in the world to do), running errands (ditto), tending to the family, and accepting those calls from telephone solicitors who somehow know you are at home to answer the phone.

Its all kind of like a math equation the tasks ADD up, which SUBTRACTS from running your business smoothly, which EQUALS a less successful business and a more stressed out business owner.

So, lets look at our list above again and see how many of those tasks can be accomplished by someone off-site; and who would be the best person or business to help you out.

Of the 10 items listed above, only two need to be handled, or at least started, by the business owner.

#3 (Prepare Quote) This task should be developed by the business owner. Now, this doesnt mean they have to do it all. They can put together the specifics of the quotation and then have a Virtual Assistant format and produce the final outcome.

#10 (Networking) Again, this is something that cant be outsourced, although, if the company is large enough, a representative can attend the meeting in the place of an owner.

#2 (Accounting) This task is a perfect candidate for outsourcing. There are many companies that provide exceptional bookkeeping services. If you are lucky enough, you can find one that can take care of all of your accounting tasks, right down to your yearly income taxes.

#7 (Clean office) Once again, this can be handled by a reputable office or house cleaning service, and for relatively cheap.

#6 (Update website) This is something that can be accomplished by an experienced web designer, and usually by way of a contract or retainer agreement for ongoing maintenance.

#4, 5 & 9 (Flowers, tradeshow, seminar arrangements) These are all best handled by a professional concierge service. They can take care of everything from booking a limousine to arranging hot air balloon rides to corporate event planning.

#1-10 Except for #10 (which is best handled in person), and #7 (which is not something that can be done from afar), the remaining tasks can all be handled by a Virtual Assistant (VA). Now, not all VAs provide all of these services but, more than likely, they can either recommend someone who can or get the details from you and ensure that a fellow colleague will do the work according to your needs.

As a fellow small business owner, being able to provide a full-service benefit to a client is something that most VAs take pride in. If they do need to subcontract work to someone else, they make sure that the contractor is aware of their level of professionalism and that it is the VAs reputation that is at stake, something most will go to great lengths to ensure is held in the highest regard.

Outsourcing is a relatively new concept to most business professionals but, as more and more of them begin to realize the benefits that they can take advantage of by utilizing the off-site services of Bookkeepers, Concierge services, Virtual Assistants, and more, the more successful and less stressed out or overworked our business communities will be.

The IRS included in its e-News for Tax Professionals, detail information on Contractors, subcontractors and individual workers, not reporting or under-reporting business income from construction activities.

The IRS says businesses and individuals need to be aware of everything that counts as income and proper accounting methods in order to pay their fair share of taxes.

The report went on to say that businesses and individuals also need to be aware of all deductible expenses so that they dont overpay their taxes.

The tax gap is the difference between the amount of taxes that should be paid in a given year and the amount actually paid voluntarily and in a timely way.

Income

Contractors, subcontractors, and workers must pay taxes on income received for all work, including side jobs and work that is paid for with cash. This includes work in exchange for credit on a bill. It also includes work that is done in exchange for goods or services in a barter exchange.

The IRS went on to stress that Contractors, subcontractors and individual workers are required to report their income even if a Form 1099 or a W-2 is not issued to them.

As for accounting methods, income and expenses are reported on tax returns based on one of two accounting methods, which include either the cash method or the accrual method. Your tax professional can help you determine which method is best for you. Most small business owners and individuals use the cash method. And business activities for contractors, subcontractors and individuals are usually reported on Schedule C.

Expenses

Based upon the IRS Tax Codes the Following holds true:

Ordinary and necessary business expenses are deductible. An ordinary expense is one that is common and accepted in the construction business. A necessary expense is one that is helpful and appropriate for the construction business. An expense does not have to be indispensable to be considered necessary.

An example of business expenses for Contractors, subcontractors and workers working in the construction industry are as follows:

Utilities
Car and truck expenses
Advertising
Employee salaries
Trade association dues
Rent expense
Supplies
Continuing education
Small tools expected to last one year or less
Steel toe work boots
Business licenses

Expenses for business assets that are expected to last more than a year must be capitalized and depreciated over their useful lives. Examples of assets include:

Cement mixer
Compressor
Ladder
Other heavy machinery
Buildings and real property

Personal expenses including clothing that can be worn off the job site, fines and penalties, and the non-business use of vehicles or computers cannot be deducted.

The interesting thing about quitting smoking is the dichotomy between withdrawal and healing. Both aspects can demand as much attention as, say, wrestling alligators. Often at the same time. But in entirely different ways.

Withdrawal has a wide range of characteristics. It can be subtle and work on you at the subconscious level. Or it can be as obvious as a big, slobbering dog and just hammer you physically. Either way, it makes itself evident in many unpleasant ways.

Healing is not necessarily subtle, but it is gradual, and takes time to accumulate. It works as a function of time and metabolism. Your body will not repair all the damage you have done to it, but it will do its work as best it can. You have to pay more attention to the healing because it is not as vigorous as the withdrawal.

It does not take long, once you quit smoking, for both aspects to manifest themselves. Withdrawal starts first, and can get real nasty. But if you wait long enough, you will soon see healing taking place. And this is where things get more interesting.

At first, the balance was tilted much more towards wanting to smoke. But my appreciation of feeling better has been increasing to the point that now, the balance has shifted. The key to this situation is lasting long enough for that change. I have never done that in a quit before

I have found myself simultaneously wanting to smoke and appreciating feeling so much better. Sometimes I think about that, and it strikes me as funny. How could I want to do something that made me feel so bad? Now, I accept the fact that that is the way of the world to want to do something that is bad for me. I accept that idea without needing to understand why it is that way. But I do laugh at it too. Foible, indeed.

The encouraging thing is that the withdrawal is decreasing, and the healing is surging. All I have to do to keep that trend going is not smoke.

Above all, I guess that web traffic is the most sought out things many marketers would want to succeed in. Obviously, this is because traffic generates into sales and in the long run, (it) makes the site credible.

Many would probably agree that generating high traffic is hard to do (for most newbie sites) and at the same time very difficult to maintain (for the old ones) because of the tough competition online. And because of this the same dilemma that we at times feel hopeless of even getting the average number of visitors into our site.

We tried exchanging links, submitting our site and articles to search engines, directories and websites, and etc. But nothing seems to even work for long. So what else is there to do when we have almost tried every free web promotions online?

Jason Mangrum slightly gave me an idea of how to possibly make a desired traffic to our site. He points out that in getting your visitors interest, you have to:

1. Condition their minds first instead of giving them all the data at once;
2. Always make the whats-in-it-for-them point; and
3. Be the one to take charge of directions, which would eventually result to a desired action by your customers.

Mangrum did not really give his entire formula on achieving great traffic on his site. But he did make a point that in order to have the same success as what his site had, he explained that we should make the right and spontaneous momentum, which reminds me of the saying: Try, try, until you succeed. But its true. I guess that what is lacking on our marketing system is the fact that we easily give up and has totally lost our excitement of ever achieving to be on the top.

I have not known the guy, but through his writing, I could sense that Mangrum is one of the few people who really kept a very positive mind. And I am glad that even though his successful marketing formula was not discussed fully, still, he shared his success to everyone. And that mattered to me. I have cleared my mind of surrendering to my sites down condition, and instead I would just focus my mind of finding the perfect and right marketing formula to my site.

Experimentation is the key factor of achieving traffic. You do this tactic, then you observe. Jot all important information needed like your web stats. Numbers tell all, thus, be able to analyze them. You may even combine two or more techniques in order to see what would best apply. I think that the formula is right on tip of our nose; we just have to read them clearly.
